Frequently asked questions

Common questions about our services, our approach, and what to expect when working with us.

What is the difference between a custom CRM and an off-the-shelf solution?

Off-the-shelf CRM tools (e.g. Salesforce, HubSpot) are designed for a broad market: you adapt your processes to the product. A custom CRM is built around your workflow, your data model, and your industry. You get exactly the features you need, seamless integration with your existing systems, and full ownership of the software. Custom CRM is especially relevant when you have complex sales cycles, multi-entity structures, or specific compliance and reporting requirements.

How long does a typical CRM or automation project take?

Delivery typically varies between 15 days and 1 month from agreement to going live. We work in iterations so you see progress early and can adjust priorities as needed.

Do you work with SMEs or only large enterprises?

We work with both. SMEs often need tailored solutions because standard software does not fit their processes or budget in the long run. We scope projects to your size and priorities: you might start with one module or one automation and grow from there. Many of our clients are mid-size companies or growing startups that need systems that scale with them.

Can you integrate with our existing tools (ERP, accounting, etc.)?

Yes. We integrate with ERPs, accounting software, marketing tools, and other systems via APIs, file exchange, or custom connectors. During discovery we map your current stack and define which integrations are needed. We prioritise secure, maintainable integration patterns and document them for your team.

What about security and data protection?

Security and data protection are built into our design and infrastructure work. We follow good practices: access control, encryption where appropriate, secure deployment, and clear documentation. We can help you align with your industry or regional requirements (e.g. audit trails, data residency). For infrastructure projects we set up monitoring, backups, and incident response so your systems stay reliable.

What is your pricing model?

We work on a subscription basis. The subscription includes server maintenance, system updates, and related support. It depends on what you need; in most cases there is no upfront creation cost -only a monthly maintenance fee. We offer highly competitive rates and focus exclusively on long-term clients, not one-off projects.

How do you handle confidentiality and our data?

Confidentiality is guaranteed by a contract signed when we establish our agreement. This contract creates a clear framework of trust and expressly prohibits us from disclosing any of your information, data, or business details. Protecting our clients' sensitive information is a core commitment.

What is the typical scope of a first release (MVP)?

A first release usually focuses on one clear business outcome: for example centralising customer data, automating a single approval workflow, or connecting two critical systems. We define the data model, the essential screens, user roles, and the few integrations that remove the most manual work. The goal is a usable product your team can adopt quickly, then we iterate based on real feedback.

Do you provide hosting, maintenance, and monitoring?

Yes. Most projects include ongoing maintenance and infrastructure support: backups, updates, monitoring, incident response, and performance optimisation. If you already have an internal IT team, we can document everything and align with your existing processes and tooling.

Can you integrate with ERP, accounting, or legacy software?

Yes. Integration is often where value is created: syncing customers and orders, automating invoicing steps, pushing stock updates, and consolidating reporting. We integrate via APIs when available, or through secure file exchange and custom connectors when dealing with older systems. We keep integrations maintainable and document the flows.

Can you migrate our data from spreadsheets or another CRM?

Yes. We can import existing data (Excel, CSV, legacy CRM exports) and clean it along the way: deduplication, field mapping, validation rules, and ownership. A good migration plan reduces risk and helps your teams adopt the new system faster.

Do you work internationally and in multiple languages?

Yes. We deliver projects for teams across regions. We can build multilingual interfaces, align with time zones for workshops, and document the solution so it remains easy to operate and evolve.
